Fee & Refund Policy

Version 2.0 – Effective from 1st July, 2025

These Terms & Conditions outline the financial obligations of all students enrolled in programs offered by DQ Learnings.By accepting admission, making a payment, or attending classes, you are deemed to have read, understood, and agreed to these terms in full.

1. Definitions

  • Student” refers to the individual enrolled in any DQ Learnings course.
  • Course Term” refers to the officially communicated course duration.
  • Enrollment Date” refers to the date the student confirms admission and receives the official email from DQ Learnings.
  • Payment Term” refers to the timeline within which the course fee must be fully paid.

2. Enrollment & Payment Agreement

2.1 Binding Enrollment Email

  • Upon admission confirmation, students receive an official enrollment email detailing:
    • Course name and duration
    • Total fee payable
    • Payment mode (lump sum/EMI) and schedule
    • Terms of access and completion
  • This email is considered a legal agreement between the student and DQ Learnings.
  • 2.2 Verbal & Informal Communication

    • Verbal promises made by counsellors, trainers, or staff (including via WhatsApp or call) are not binding unless confirmed in the official enrollment email.

    3. Course Fee Structure

    • Course fees must be paid in full within the specified course term, as outlined in the student's official enrollment email and further detailed in the Student Enrollment & EMI Agreement provided at the time of admission (e.g., within 3 months for a 3-month course).
    • Students opting for EMI must pay a mandatory down payment equivalent to one EMI installment before the batch start date.
    • Students must strictly adhere to the agreed installment plan.
    • Any deviation or delay from the agreed payment plan must be formally requested in writing and approved by management.

    4. Mode of Payment

    Payments are accepted via:

    Payments made via unauthorised third-party links, cash transfers to staff, or personal accounts of counsellors will not be recognised.

    5. Payment Timeline & Delay Consequences

    A. For Non-EMI (pre-decided payment schedule) Students

    • A 3-day grace period is granted after the due date for payment delays.
    • If the fee is not cleared within 3 working days:
      • Day 4–6: Access to classes and student portal may be restricted, and academic services paused.
      • Day 7+: Enrollment may be terminated permanently with no certificate or placement eligibility, as per Section 6.

    B. For EMI Students

    • No grace period is granted.
    • If any EMI is not paid on or before the scheduled due date, the following applies immediately on the next day:
      • A late payment penalty of 600 + 18% GST (708 total) will be charged by DQ Learnings' authorised finance partners for each missed EMI.
      • This must be paid along with the pending EMI to restore class and portal access.
      • Each EMI transaction includes a platform convenience fee of 118.
      • Repeated EMI defaults may result in:
        • Suspension from the course
        • Conversion to full-payment mode
        • Course termination (after 3 defaults)
        • Legal recovery action (as per Section 3 of the Student Enrollment & Payment/EMI Agreement)
    ⚠️   No verbal commitments or unofficial EMI rescheduling will be accepted. Only formal written approval by central management is valid.

    6. Non-Payment Consequences

    If a student fails to pay their pending fee within 7 calendar days of the due date:

    • Enrollment will be terminated permanently
    • Access to LMS, classes, and doubt sessions will be revoked
    • Certification and placement eligibility will be forfeited in accordance with the Student Agreement, which also requires a minimum of 80% attendance and successful completion of academic requirements
    • No refund, batch transfer, or rejoining will be allowed
    • Legal action may be initiated for recovery

    7. Student Leave or Absence

    • Absence from classes (due to travel, health, exams, personal reasons, etc.) does not impact fee obligations or extend the payment deadline.
    • Course timelines are fixed and shared at the time of admission.
    • No extra or compensatory sessions will be provided beyond the official end date except for doubt-clearing.

    8. Refund & Withdrawal Policy

    • Fees once paid are non-refundable under any circumstances, including but not limited to:
      • Voluntary dropout
      • Dissatisfaction with teaching or batch
      • Schedule conflicts or personal reasons

      Refunds may be considered only with a formal written request and valid supporting documentation, as outlined in Section 4, Clause 4 of the Student Enrollment & Payment/EMI Agreement, and are subject to management approval and administrative deductions.

    9. Certification & Placement Eligibility

    To be eligible for course certification and placement support, a student must:

    • Clear 100% of course fees
    • Maintain minimum 80% attendance
    • Successfully complete all academic and project requirements
    • Comply with code of conduct, ethical behaviour, and platform usage policies

    Students with pending dues, disciplinary issues, or low attendance will be automatically disqualified.

    10. Disputes & Communication Validity

    • Only communications issued via official domain @dqlearnings.com are considered valid.
    • Informal communication via WhatsApp, phone, or social media will not be honored in legal or academic matters.
    • EMI students will receive automated payment reminders via SMS, WhatsApp, or call as per the EMI Collection SOP.

    Issues must be raised within 7 working days of notice or default.

    11. Governing Law & Amendments

    • These terms are governed by the laws of India.
    • DQ Learnings reserves the right to revise these terms at any time. Updates will be shared via email or website.

    Final Declaration

    By confirming admission, continuing course participation, or making any payment, the student confirms that they:

    • Have read and understood the above terms
    • Agree to comply with all fee-related timelines and conditions
    • Understand that failure to comply may result in suspension, termination, or forfeiture of benefits
